How Psychology Wellbeing Consulting collects, holds, uses and protects your personal and health information.

Last updated 15 September 2026

In short

Psychology Wellbeing Consulting collects only the personal and health information needed to provide psychological services, stores it in encrypted Australian systems, and does not disclose it without your consent except where the law requires it or where there is a serious risk to someone's safety. You can request access to your records at any time.

Who this policy covers

This policy applies to Psychology Wellbeing Consulting (ABN 53 154 854 993), a private psychology practice at Level 10, 53 Queen Street, Melbourne VIC 3000, and to all clinicians and staff working under it. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and in Victoria by the Health Records Act 2001 (Vic).

What we collect

We collect only what is needed to provide safe and effective psychological care:

  • Name, date of birth, address, phone number and email address
  • Medicare number, referral details and Mental Health Care Plan information where you are claiming a rebate
  • Private health fund details where you claim through extras cover
  • Emergency contact details and, where relevant, your GP or referring practitioner
  • Clinical information: what brought you to therapy, your history, assessment results, session notes and treatment plans

Health information is classified as sensitive information under the Privacy Act and attracts a higher standard of protection than ordinary personal information.

How we collect it

Most information comes directly from you — through our enquiry and booking forms, over the phone, in intake paperwork, and during sessions. We may also receive information from your GP or referring practitioner, or from another treating professional where you have consented to that contact.

How we use it

Your information is used to assess your needs, plan and deliver treatment, communicate with you about appointments, process Medicare and health fund claims, and meet our legal and professional obligations under the National Law and the Psychology Board of Australia's standards. We do not use your information for marketing, and we do not sell it.

When we disclose it

We do not disclose your information to anyone without your consent, with these exceptions, which the law requires or permits:

  • Where there is a serious and imminent risk to your life, health or safety, or to someone else's
  • Where there is a legal obligation to disclose — for example a subpoena, court order, or mandatory reporting duty
  • Where disclosure is required by Medicare or a health fund to process a claim you have asked us to make
  • Where a professional or regulatory body lawfully requires it

Where we write to your referring GP — which Medicare requires after a course of sessions — the letter contains only what is clinically necessary. You can ask to see it.

Storage and security

Clinical records are held in an encrypted practice management system hosted in Australia, with access limited to your treating clinician and authorised practice staff. Paper records, where they exist, are held in locked storage at our rooms. Telehealth sessions use an encrypted video service and are not recorded. Email is not an encrypted channel, so we keep clinical detail out of email wherever possible.

How long we keep records

Under the Health Records Act 2001 (Vic), health records for an adult are kept for at least seven years from the date of last service. Where the client was under 18, records are kept until that person turns 25. After that period records are securely destroyed.

Website and forms

Our enquiry and booking forms send their contents by email to the practice; they are not stored in a third-party database.

This site uses Google Tag Manager and Google Analytics to understand how the site is used — which pages are read, how visitors arrive, and where they leave. These set cookies and collect technical information including your IP address, browser, device type and the pages you view. IP addresses are truncated by Google Analytics before storage. We use this only in aggregate: we do not attempt to identify individual visitors, we never connect analytics data to your clinical record or enquiry, and we do not run advertising pixels or remarketing.

You can opt out entirely using the Google Analytics opt-out browser add-on, or by blocking cookies in your browser. Nothing on this site requires cookies to function — the site works normally with them blocked.

Web fonts are served by Google Fonts, which receives the standard request information (including IP address) that any font request carries. Our hosting provider keeps routine server logs for security purposes.

Access and correction

You can ask to see the personal and health information we hold about you, and to have anything inaccurate corrected. Requests should be made in writing to info@psychologywellbeingconsulting.com.au. We will respond within 30 days. In limited circumstances access may be refused — for example where providing it would pose a serious threat to someone's life or health — and if so we will explain why in writing and offer an alternative, such as a summary provided through another health practitioner.

Making a complaint

If you are concerned about how your information has been handled, contact us first at info@psychologywellbeingconsulting.com.au or on 0433 819 540. If you are not satisfied with our response you can contact the Office of the Australian Information Commissioner at oaic.gov.au, or in Victoria the Health Complaints Commissioner at hcc.vic.gov.au.
